A CRM for an HVAC contractor is not a sales pipeline with deals and stages. It is a list of properties, the equipment installed at each one, when each unit was last serviced, what it is due, who is on a maintenance plan and who is on a system old enough to be worth a replacement conversation. The valuable field is not the last contact date, it is the install date, because that is what tells you which customer is going to need fifteen thousand dollars of work in the next two years.

Build the list around units, not contacts

One customer can be one house with one system, or a landlord with fourteen properties, or a property manager with a hundred rooftops. Modelling the world as contacts and deals collapses all of that into a name and a phone number. Modelling it as properties with units attached is what makes the recall list, the maintenance schedule and the replacement forecast fall out of the same data.

Let the service history do the selling

The strongest replacement conversation is not a marketing email, it is a technician saying the compressor amps have climbed on each of the last three visits. That conversation only exists if the readings from those visits were recorded against the unit. A CRM that holds the history is a CRM that produces the conversation.

Make the recall list a query, not a memory

Who is due a cooling tune up, who is on a plan with a visit unbooked, whose system is over fifteen years old, who declined a repair over five hundred dollars in the last six months: these are the four lists that fill a slow week. They are trivial to produce from unit records with dates on them and impossible to produce from a phone's contact list.

What is the best CRM for HVAC companies?

The right test is whether it holds equipment records, not whether it holds deals. A general purpose CRM will store the customer and the conversation and give you nowhere sensible to put the model, serial, refrigerant and install date, which are the fields that generate work. Trade specific tools hold them; that is most of the difference.

Can I use a spreadsheet instead?

For a one truck operation, honestly, yes, and many good businesses run that way for years. It stops working when two people need it at once, when you want the service history attached to the unit rather than typed into a cell, and when the recall list has to come out of it every week rather than once.

How does a CRM help with maintenance agreements?

The plan is only profitable if the visits get booked, and the visits only get booked if something remembers they are due. Holding plans against units with their visit schedule turns the renewal and the booking into a list somebody works through, rather than a thing that happens when a customer calls to complain that nobody came.
