Pricing software for an HVAC contractor has one job: to make the price on the quote follow from the business rather than from the mood of whoever wrote it. That means the labor rate carries the real burden and the real overhead, the parts markup is applied the same way every time, the margin target is set once, and the good, better and best options on a replacement are priced from the same cost basis so the differences between them are honest.

Set the rate once, from your own accounts

Wage, burden, billable hours, overhead and net profit target are five numbers that come out of your profit and loss and your payroll, not out of a survey. Set them once and every task price and every install quote follows from them. Change one, and every price should change; that is the property that a price book copied from elsewhere cannot give you.

Price the options from one cost basis

Good, better and best only works if the customer can see that the difference in price reflects a difference in what they get. Pricing all three from the same cost model, changing only the equipment tier and the commissioning time, produces differences you can defend. Pricing them by feel produces a middle option that is either giving margin away or making the good option look like a trap.

Review the rate on a schedule, not after a bad quarter

Wages move, insurance moves, fuel moves and supply house prices move. A rate set two years ago is quietly wrong now, and the first sign is usually a busy year that made no money. Rerunning the five inputs every six months takes ten minutes and is the cheapest financial control a contracting business has.

Is flat rate better than time and materials?

For residential service work, flat rate almost always converts better, because the customer knows the price before the work starts and is not watching the clock. Time and materials survives on large commercial jobs and on unknown scope work. The important thing is that the flat rate is built from real timings and real costs rather than reverse engineered from what feels acceptable.

How often should I raise my prices?

Review at least twice a year and move when your inputs move. Holding a rate for three years and then correcting it in one step is how contractors lose customers over the change itself; moving with your costs, in the increments your costs move in, mostly does not get queried.
