Dispatch is the daily problem of a growing HVAC shop: which technician goes where, in what order, with what on the truck, and what happens when a no cooling call comes in at two in the afternoon in August. The software question is really a data question, because a dispatch board is only as good as what it knows about the job: how long it should take, what equipment is on site, which technician has done it before and who has the part.

Give every job an honest duration

Boards fall apart when every job is booked as two hours because two hours is the default. Tune ups, diagnostics, repairs and installs have different real durations, and so do rooftops compared with residential splits. Booking the real duration is what turns a plan into something the afternoon can survive.

Route by who has done it before

Sending the technician who fitted the system to the callback is worth more than sending the nearest one. They know the install, the customer and what was odd about it, and the visit takes half the time. That is only possible if the job history is attached to the unit and the dispatcher can see it while deciding.

Keep a slot for the emergency you know is coming

In cooling season the no cooling call is not an interruption, it is a certainty. Shops that book every technician solid at eight in the morning spend the afternoon apologising to the customers they displace. Holding capacity deliberately is cheaper than the reputational cost of moving three appointments to make room.

What does HVAC dispatch software do?

At minimum it shows the day's jobs against technicians and time, lets a dispatcher move them, and pushes the change to the technician's phone. The versions worth paying for add job duration history, equipment records at the site, technician skill and certification matching, and a live view of who is running late.

Do I need dispatch software with three technicians?

Usually not as a separate product. Three technicians can be run from a shared calendar as long as the job records live somewhere both the dispatcher and the technician can see. Dedicated dispatch software starts paying for itself somewhere around six to eight trucks, when the cost of a badly ordered day exceeds the cost of the tool.
