Residential estimating is a conversation held in a hallway, and the software has to survive that. Size it approximately in front of the customer, confirm it properly afterwards
A square footage estimate is enough to price and enough to have the conversation, and it is not enough to order equipment against. Saying that out loud is good practice and good business: it sets up the load calculation as part of the professional service rather than as an extra the customer suspects you of inventing.
Price three options, not one
A single price is a yes or no question, and about half the answers to a yes or no question are no. Three options priced from the same cost basis change the question to which one, and they let the customer choose the middle without feeling sold to. The differences have to be real: efficiency tier, staging, warranty, commissioning time.
Leave a document behind, and make it readable
The decision is not made in the hallway, it is made that evening. What survives to the evening is the document, so it has to show the scope, the options, what each includes, the permit and inspection position, and what happens next. A number scribbled on a business card loses to a competitor's two page proposal every time.

Should I show the customer my costs?
No, and you do not need to. Show the scope and the options. Breaking the price into equipment, ductwork, labor and permits is about making the quote understandable and defensible, not about disclosing your margin, and customers who ask about margin are usually really asking why the other quote was cheaper.
How accurate is square footage sizing?
Accurate enough to price a replacement in a typical home and to spot a quote that is a ton out. Not accurate enough to order against. Envelope, glazing, orientation and duct losses can move the real answer by a full ton, which is why the honest position is to estimate on site and confirm with a load calculation before ordering.
