This builds the quote the way an HVAC job is actually sold, with equipment, materials, labor and permit fees on separate lines rather than a single lump sum. It applies your markup to the job cost, adds sales tax on the material portion where your state charges it, and tells you the deposit to take at signing and the gross profit the job leaves you with. The gross profit line is the one worth watching: it is the money the job is actually for.
Separate lines win more jobs than a single number
A quote that reads as one figure invites the customer to compare it with one other figure, and the only thing they can then compete on is price. A quote that shows equipment, ductwork, labor and permits separately gives the customer something to understand and gives you something to defend when a cheaper quote arrives with no ductwork line on it at all. It also makes the conversation about scope rather than about discount.
Markup on cost, margin on price
This page asks for markup on cost, because that is the number most contractors work in day to day. The gross profit line then shows what that markup produced in dollars, and comparing it with the total tells you the margin. The two are different arithmetic on the same job and they never give the same figure, so it is worth running one job through both ways once, so you know which of the two you are actually managing.
Take the deposit, and say why
A deposit at signing covers the equipment order and protects you from a cancellation that leaves a matched system in your warehouse. Set the field to what you actually take. Some states cap what a contractor can take up front on home improvement work and some require the deposit to be held in a particular way, so check what applies where you work before you fix a default on your own quotes.

How do I handle sales tax on an HVAC install?
It depends entirely on your state and sometimes on your locality. Some tax materials to the contractor and nothing to the customer, some tax the full contract, some treat a capital improvement differently from a repair. This page taxes the equipment and materials portion at whatever rate you enter, which fits the most common arrangement, but your state's rule is the one that counts.
What markup should I use on an install?
The honest answer is the one that covers your overhead and leaves the net profit you have decided on, which the flat rate calculator on this site works out from your own numbers. As a sanity check, an install markup that leaves too little gross profit rarely survives a warranty callback and a slow winter, and the gross profit line on this page is where you can see that coming before you send the quote.
