Invoice from the job record, not from memory

Every retyped invoice is a chance to leave off a part, forget the trip charge, or use last year's rate. Building the invoice from the same record the technician filled in on site removes the retyping and, with it, most of the leakage. It also means the customer's copy and your copy say the same thing, which matters a great deal when somebody disputes it.

Send it before you leave the driveway

Collection rates fall with every day between the work and the invoice. Invoicing on site, while the customer is standing next to a system that is now working, is the single largest improvement most shops can make to cash flow, and it costs nothing to adopt. It also removes the end of week backlog that is where invoices get missed entirely.

Track deposits and part payments against the job

A deposit taken at signing and an invoice raised at completion have to know about each other, or the customer is asked for the full amount twice and your books show revenue you never received. Netting the deposit off the balance due, on the invoice itself, is what stops that conversation happening at all.
