HVAC bid proposal template: winning a compared bid without underpricing

A bid is a proposal written against someone else's scope. A general contractor, a property manager or a school district has issued a description of the work and will compare what comes back, usually on price and often on completeness. The bidding template's job is to answer that scope line by line, price it from your costs up so the number can be defended, and state exclusions and alternates so a low bid is not a loss. This page is for the owner or estimator of a US HVAC contracting business bidding competitive work, and it sets out what the HVAC bid proposal template and the commercial HVAC bid template have to carry.

An HVAC bidding template answers the scope in their order

Take the issued scope and respond to every line in the same sequence, with included, excluded or alternate against each. A bid that reorganises the scope makes the reviewer hunt, and reviewers who hunt score low. Where the scope is ambiguous, state your interpretation in writing; that sentence is worth more than any margin when the ambiguity surfaces on site.

Price from cost up, then decide the margin

Build the bid price from equipment at your supplier quote, labor at your loaded rate times estimated hours, subcontracts, permits, rentals and disposal, then apply the margin as a decision rather than a habit. The labor rate calculator and the pricing calculator on this site work those figures from your own numbers. A bid priced from what you think will win is a bid you may regret winning.

Exclusions and alternates are the bid's safety valve

Competitive bids are compared on the base price, so the base should carry exactly the scope and nothing more. List every exclusion, and offer alternates as priced adds: the higher efficiency tier, the extended warranty, the controls upgrade. The reviewer sees a lean number and a professional who has thought about the job; you keep the margin on the adds.

The commercial HVAC bid template's paperwork

Commercial bids carry a bid form the customer supplies, a schedule of values, a bid bond where required, a certificate of insurance, references, and often a statement of qualifications. Keep those as a standing pack so the bid deadline is spent on the price rather than on chasing documents. State the validity period and what escalates the price if award is delayed, because equipment prices move.

After the bid

Ask for the bid tabulation when you lose; most public customers provide it. It tells you where your price sat and whether you lost on price or on completeness, which is the only way a HVAC bidding template improves. Record the outcome against the job in whatever system you run so the next bid on similar work starts from evidence.

Questions people ask about hvac bid proposal template

How is a HVAC bid proposal template different from a normal proposal?

It answers a scope the customer wrote rather than one you wrote, and it is compared against other bids on that scope. Completeness and exclusions matter more; options matter less.

Should we bid low to get in the door?

Only with exclusions and alternates that protect the margin, and only on work you can perform at that price. A low bid without those is a donation.

What validity should a commercial HVAC bid template state?

Long enough for the customer's award process and short enough that your equipment quote holds. Tie the two together: the bid is valid while the supplier quote is.
