Section one of an HVAC proposal example: the scope in the customer's language
Describe the work as the customer will check it: remove the existing furnace and condenser, install the new system named by model, replace the lineset, connect to the existing ductwork after sealing the plenum, install the thermostat, start up and commission, remove and dispose of the old equipment. Each verb is a promise and each noun is a boundary. A scope that says install new system is an argument about what install meant.
Section two: options, side by side
Present good, better and best as three equipment tiers on the same scope, each priced with the same margin from the same costs and each with a monthly financing figure. Section three: exclusions, stated plainly

Write what is not included and what happens when it is discovered: a priced change order before the work continues. This section protects the margin and the relationship at once.
Section four: price, terms and validity
The price per option, the deposit and payment schedule, the warranty on equipment and on labor stated separately, the validity date, and the signature block. A proposal without a validity date is open at last quarter's equipment prices forever. State the start window and what delays it: permit, equipment availability, the customer's readiness.
The commercial HVAC proposal template
A property manager reads a proposal differently. Add the site and the asset tags affected, the purchase order line, the certificate of insurance on request, the working hours and access arrangements, the disruption to tenants and how it is minimised, and the disposal of refrigerant documented. Price often has to be shown as equipment, labor and other on separate lines because the customer's approval process requires it. The scope of work becomes its own attachment.
