An install that is finished is not the same as an install that is done. Done means the pad is level, the lineset is insulated and supported, the charge is set by the manufacturer's method and recorded, the static pressure is measured, the condensate drains, the thermostat is programmed, the customer has been shown the filter and the old equipment is gone. The installation checklist is how a crew gets from finished to done every time, whichever crew it is. This page is for the owner or install manager of a US HVAC contracting business building the HVAC install checklist template, stage by stage, with the commissioning readings that prove the job. The quote builder on this site produces the scope the checklist is checked against.
Before the truck rolls
Equipment on hand and matched to the quote by model. Permit pulled. Lineset, pad, disconnect, whip, thermostat, filter and drain materials loaded. Customer confirmed for access and told the day's plan. Old equipment disposal arranged and refrigerant recovery equipment on the truck. Half of install callbacks start with something that was not in the truck.
Removal and preparation
Power off and locked out, gas off where applicable. Refrigerant recovered and logged. Old equipment removed and staged for disposal. Pad checked or replaced and levelled. Plenum and transitions inspected; sealing planned. Electrical service and breaker sizing confirmed against the new equipment's nameplate. Condensate route confirmed with a trap and a safety switch where the layout needs one.
Setting the equipment
Outdoor unit set, level, with clearances per the manufacturer. Indoor unit set with access for service and filter changes. Lineset run, supported, insulated, and brazed with nitrogen flowing. Electrical connected, whip and disconnect installed, wiring sized and secured. Gas connected and leak tested. Flue installed and terminated per the manufacturer. Thermostat installed and wired. Drain connected and tested with water.
Commissioning: the readings that prove it
Evacuate to the target vacuum and hold. Charge by the manufacturer's method, superheat or subcooling, and record the readings. Measure total external static pressure and compare with the equipment's rating. Record supply and return temperatures, amperage on compressor and blower, gas pressure and combustion readings where applicable. Verify airflow against design; the airflow figures on the ACCA page linked below are the usual starting point. Program the thermostat. These readings on the HVAC installation checklist are the difference between a warranty claim and a defensible install.
Handover and close
Walk the customer through the thermostat, the filter, the drain and the disconnect. Leave the manuals and the warranty registration confirmed. Photograph the completed install. Collect the balance and the signature on the checklist. Remove the old equipment and the packaging. The completed HVAC install checklist template goes into the unit record so the first service call starts from the commissioning readings.
Questions people ask about hvac installation checklist
Who should complete the installation checklist?
The lead installer, at each stage, with the readings recorded as they are taken. A checklist filled in from memory in the truck afterwards is a form, not a record.
Should the customer sign the HVAC install checklist?
Yes, at handover, alongside the final payment. It records that the walkthrough happened and the system was running to the readings shown.
What is the most skipped item on install checklists?
Static pressure measurement. It takes minutes and it is the reading that most often explains a comfort complaint later.
